Job Overview
Administrative Assistant will be a pivotal role, providing multifaceted support to the Director of Operations and Brittany Xavier. This role melds personal assistance with administrative responsibilities, requiring a blend of efficiency, discretion, and proactive management of various tasks and activities. This position requires physical presence in our Old Town Pasadena office five days a week.
Key Responsibilities
- Email: Manage and prioritize email correspondence, ensuring timely responses and appropriate delegation.
- Scheduling: Manage professional calendars, ensuring that all appointments, meetings, and events are accurately scheduled and attended.
- Documents: Create, update, and organize necessary documents, reports, and presentations.
- Office Management: Ensure efficient and organized operation of the office environment, including supply stock and inventory.
- Errands: Conduct business and personal errands as needed including but not limited to retrieving and logging incoming packages.
- Meals: Oversee all aspects related to meals, including order, delivery, and coordination of luncheons.
- Appointment & Travel: Schedule, manage, and coordinate personal appointments and travel itineraries.
- Additional tasks assist to ensure smooth day-to-day operations for the team.
Skills and Qualifications
- Organizational: Exceptional organizational and multitasking abilities with an emphasis on time management.
- Communication: Strong communication skills, both written and verbal.
- Technology: Proficiency with Google Workspace (Gmail, Google Calendar, Docs and Sheets)
- Adaptability: Ability to learn quickly and adapt to changing schedules, priorities, and tasks.
- Proactiveness: Anticipate challenges and be ready to jump in when needed.
- Efficiency: Utilize project management software tools, adapting to evolving technology needs and ensuring seamless coordination and tracking of tasks and projects.
